Set Up Option Items

This article was written for Volanté v6.0.269 / build: 1361.

Menu Programming activities are performed in the Menu Setup module. To access select Menu Setup from the Volante BackOffice Software.


Menu Programming is organized into four easy steps so that it can be done quickly and efficiently. All operations follow a tree-like structure and may be controlled using the simple drag and drop motion. The 4 easy steps required for menu programming include:

Options Item Setup 


Options are the modifiers, supplementary information, or add-on information that can be combined with a menu items. They are an optional component to menu programming – nothing has to be configured in the option items area. However, using options allows for cleaner menu item programming and reporting.

Examples:

  • Hamburger with Chips, Fries, Salad or Soup: Hamburger as a menu item can have associated optional choices of either chips, fries or salad, or for an extra $1 soup
  • Coffee: Coffee can be associated with multiple option items like cream, sugar, sweetener, milk, flavors etc.
  • Bottle Deposit: Many pop purchases have a mandatory deposit fee that can be configured as an forced optional add-on.

Pop-Up

Most business setup their options to be accessed via pop-up windows that are activated upon selection of an menu item. This following article describes setting up these types of options.

Option Items are setup in a similar hierarchy to menu items.

  • Category: used to group similar option items together - examples of a category would be Coffee Options.
  • Option Items: would include items like cream, milk, sugar etc.
Hint: Option items are linked to menu items via Category. For example, the menu item Coffee is linked directly with the option category "Coffee Options". This is so that when a menu item coffee is selected all associated options items in the Coffee Options category are available for selection.

Quick Menu 

Some business prefer to have their options available for selection directly on their menu sets or quick menus.

This can reduce the number of options items required to be added. For example, instead of adding 6 options: Sugar, Cream, Milk, No Sugar, no Cream and no Milk. You can simply add 2 options: Sugar, Cream with 1 option modifier: No

Pop Up Options


Category

Categories: are used to group similar option items together - examples of a category would be Coffee Options – So that all option effecting the menu item "coffee" would be grouped together into the coffee options category.

To create a new category:

  • Highlight an existing "Group" and click "New"
  • Type in Category Name and Category Name Alt (other languages use Group Name Alt) 

Setting your category defaults, it will speed up the programming of Options Items within that category.

Set the Category defaults:

  • Discountable
  • Printer Types
  • Taxes
  • Disc. Item Type
  • Click on Save

Define and customizing Option Modifiers:

Apart from the default option modifiers (no, Regular, Extra, Half, Easy), the user can define their own modifiers.

This can be done via interface link:

Go to the Advanced tab and put the following in the interfacelink field:

OPTIONMODS:<modifier name>,<price adjustment>[;<modifier name>,<price adjustment>]

In this example, we defined three customized modifiers: NO, 123, and sdfdsf. If the user chooses modifier NO, then the price will be increased by $1.00. Similarly, choosing 123 will decrease the price by $1.00 and choosing sdfdsf will not change the price. If no interface link is defined, the default modifier will be used and the price will not be changed when the default modifier is selected.

Option Item 

Option Items: individual options items entered – examples being a cream, sugar, milk, sweetener etc.

To add a new option item:

  • Click on the Category folder that the new Option Item belongs to, and then click on New

Enter in Option Menu Items:

  • Option Name: Menu Item Name
  • Option Name Alt: Alternative Menu Item Name (by default the MI Name will auto-fill into this field)
  • Option Menu Item: An auto-created number used as for reference in Volante systems
  • PLU: Optional field where a Price-Look-Up (PLU) number can be entered.  If no PLU number is entered the Master Menu Item number will be auto-fill into this field.
  • Option Print Name: Field where a name can be entered which is used only for printing purposes. If nothing is entered the field is auto-filled with the MI Name.

Complete Fields Using Category Defaults

  • All settings pre-defined at the Category level like taxes, discounts, tags, prices, item types etc if set will auto-complete.

If information not pre-defined in the category then manual entry information:

  • Price: Item price pre-tax
  • +Tax: Item price after-tax – if Taxes are not selected then price is the same as pre-tax. For more information on how the +tax button works please see --Tax Rounding
Hint: If a tax check box is selected after entering in an initial price the display of after-tax-price will not be refreshed. If you move between menu items the display gets refreshed and the after-tax price will update.
  • Cost: Optional field where cost of the item can be entered – can be used for accounting and report purposes
  • DeptId: Optional field where Department ID can be entered if nothing is entered "1" is used
  • Unit: Optional field where unit amounts can be entered - default is 1.0
  • Count: Optional field where count information can be entered.
  • Discounts:
  • Discountable: If selected this item can be used in price modifers, combos etc – otherwise the price will always remain at pr ice stated.
  • Item Depletion Type: If using inventory controls this allows for the appropriate selection type - By Menu Item, By Inventory, 86 Item

Hint: Use the "Find Item" button on the bottom right panel to find menu item. To use -- click the "Find Item > a pop-up Find window will be displayed > type in the menu item (or part of the menu item) that you would like to find > to keep searching for the same menu item keep selecting the find button until the menu item required is displayed.

The customized modifier also an be defined for individual option item:

It is similar to how we define the customized modifier for the category.
Go to the Advanced tab and put the following in the interfacelink field:

OPTIONMODS:<modifier name>,<price adjustment>[;<modifier name>,<price adjustment>]

The option modifiers will only be defined by the category interface link. It means the option item interface link cannot change the name or the number of modifiers which are defined by the category interface link. If the category interface link is empty, the default modifier will be used. Whatever is defined in the option item interface link will not take effect. However, the option item interface link can override the price defined in the category interface link as long as the modifer names are the same in both interface link definitions. For example, we defined modifier NO with price $1.00 in category Want Cheese? $0.89 per selection interface link, meanwhile we also defined modifier NO with price $10.00 for option Black Diamond Single. In this case, we select Black Diamond Single

Quick Menu Options

For example, a user may have 6 options that need to be added: Sugar, Cream, Milk, No Sugar, no Cream and no Milk.

Using the OPTIONMOD, the user can add 2 options instead: Sugar, Cream, followed by 1 option modifier, "No"

Setup

There are two ways to setup Options Items for use on Quick Menus

  • Option Item – to setup an option item please refer see above
  • Menu Item with interface link OPTIONMOD – please see below for setup information

Menu Item with OPTIONMOD

Add a menu item in the same manner as seen in the Add Menu Items

Change from menu item to option menu item:

  • Go to the Advanced Tab
  • Enter 'OPTIONMOD' in the InterfaceLink field. (Note: Case sensitive)
  • Select the "Save" button when done

Menu Config

Add the newly created menu option item to a menu set following instructions provided in KB__Menu_Config.

Add Options to Options


The easiest way to add an options to an option is to setup all the options in Quick Menus. After all options are available in quick menus then they are available to add an option to an option.

Example Options Usage


The following example displays the process of ordering a coffee with various types of options used.

1. Select Coffee – Coffee is a menu item that has been linked to a Pop-Up option regarding coffee cup sizes

2. Select Sugar – This item is an optional item added to the quick menu

3. Select Two Cream – These items are both optional items added to the quick menu and show the ability to add an option to an option
