Menu Setup - Units (Build 1766+)

Menu Setup - Units (Build 1766+)

Menu Items can be assigned Units which determine the quantity of an item sold at once.  It may also be used to determine other measuring units for weighted items.

This will directly affect Inventory Counts and reduce the quantity of available items accordingly.

Multiple Menu Items can be set up to deduct from the same Inventory Count.

Figure 1 illustrates a typical example where a "Double Burger" item, is sold as "2.0" Units of a "Single Burger" item (1.0).

If purchased, it will reduce the Inventory Count of "Single Burger" items by 2.

Figure 1. Inventory count deduction process.

Units will round down to a whole value for Inventory counting.  It will never show a decimal for a sold item's quantity.

Customers will not receive a fraction of a Menu Item; only whole amounts will be indicated.

The Inventory count will make use of decimals, rounded to two decimal places (e.g. 0.01).

Items that directly affect another item's Units (or Inventory Count) will need to be associated as Parent and Child items.

An example of this setup is the "Double Burger" item illustrated in Figure 1. Note the "Double Burger" is a Child item of the "Single Burger".

Menu Items are, by default, Parent items. If a Menu Item is to act as the child of another Menu Item, an Interface Link must me added to the Child item specifying the desired Parent item.

Items are associated to each other by adding the following Menu Interface Link to the Child item:

PARENTMENUITEM:menu_item_id_of_parent

  • The Menu Item ID should belong to the Parent (the "base" item).
  • Associated Parent and Child items will effectively share one inventory count.  The Child item being linked must have this Interface Link present in its Interface Link 2 field.
  • Child Items with this Interface Link, when sold, will deduct from Inventory counts of the Parent Menu Item.

The number of items removed from the Inventory will be based on the number of Units that the Child item represents.  This can be summarized by the following:

Child Menu Item Units / Parent Menu Item Units = Number of items removed from Inventory Count

Figure 2 Illustrates the Interface Link added to a Child item.

Figure 2. Configuring Interface Link for Child Menu Items.

The following walks users through creation of Menu Items with Units.

  1. From the BackOffice, open Menu Setup.
  2. Set the Single Burger's "Unit" to 1.0.
  3. Set the Double Burger's "Unit" to 2.0.

  4. On the Double Burger Child item, navigate to the Advanced view, and enter the PARENTMENUITEM Interface Link with the Single Burger item's Menu Item ID.
In this example, the Parent item ID is 21000042, so the Interface Link is PARENTMENUITEM:21000042.

  5. Add items to the Quick Menu so that they can be ordered from the POS.
  6. Save the items, and perform a Data Sync.

If set up correctly, the Interface Link will indicate that the "Double Burger" item is a Child to the Parent "Single Burger" item, and any sales of the Double Burger item will affect the Single Burger item's inventory count.

Updating count levels allows you to designate the number of available items in Inventory.

  1. Click on Menu Setup from the BackOffice home screen.
  2. Click the Inventory tab (1), then click the Inventory Setup sub-tab (2).

  3. Double-click within the Count Change column for the desired Parent item (right pane).

Inventory Count cannot be changed on Child items; it can only be changed on Parent items.

  4. Enter the desired quantity, and press ENTER.

Ensure to press ENTER after entering values, otherwise the amount will not be saved.

The updated quantity will appear in the Count column.

Users will need to add terminals to Inventory Groups and set the sync server.

See Inventory Groups for details on setting up Inventory Groups.

If the current terminal is already been added to an Inventory Group, this step may be skipped.

Ensure Inventory counting for the POS is enabled in the BackOffice.

See Inventory Counting for details on enabling this setting.

On the POS, check if the Size items have been setup up correctly by making an order.

  1. On POS, navigate to the Cashier Screen.
  2. Order the Double Burger item.  Watch for the Inventory Count decrease.
Inventory count for the Child item is calculated as follows:

Parent Item Inventory Count / Child Item Units = Child Item Inventory Count

In the example below, there are 10 Single Burgers and 5 Double Burgers (1/2 of the Parent item's Inventory Count).

  3. When a Double Burger is ordered, the count of the Single Burger item's inventory will decrease by 2 (instead of 1), while the Double Burger's inventory will go down by 1 accordingly.  Inventory Count of both items is shared, but Double Burger is worth 2.0 Units of the Single, reducing the inventory count by 2.

  4. Purchase the item, and complete the transaction as normal.

In the event the Child item Inventory Count is not a whole number, displayed values for Inventory will be rounded down to the nearest whole number.

Using the previous example, if there is a "Triple Burger" item which is 3.0 Units of the Single Burger item, the Child item Inventory Count would technically be 0.33 (1/3rd) of the Inventory Count.

If the Inventory Count of Single Burger is 10 items, then the Child item would round down to 3; it would not be displayed as "3.33".

Reports with columns for quantity will be affected and indicate the measure of Units.
