Web Reporting Module - Training


Overview


The Volanté Web Reporting Module allows users to easily access reports from anywhere, so long as they have an Internet connection. This article trains users on effective use of this module.

Requirements


To use the Volanté Web Reporting Module:

  • Install the Volanté Web Service module; this service is required for communicating with the Volanté web portal. 
  • Configure the BackOffice to create a web reporting account.

It is also possible to run web reporting within an internal network. This will require the user to install a separate Volanté web portal on their network.

Users can log into the Volanté web portal, and the portal will communicate with the appropriate store to retrieve any available reports.
As mentioned earlier under "Requirements", ensure that the Volanté Web Service module is installed. This service will communicate to the Volanté web portal. 

It is also possible to run web reporting within an internal network, but the user will require the installation of a separate Volanté web portal on their network.

Log In

  1. Go to https://volantereports.com/


  2. Enter the login information for the following fields under Log In:
    • Site Login
    • Username
    • Password

  3. If more than one store is available under your user, select the store to log into from the "Choose Store to Login" window.

    NOTE:

     If the client has access to only one site, this step is not applicable.

    Below is the login page for the Volanté Web Reporting module.

For enhanced security, Volanté uses SSL to encrypt every message used to communicate between servers.

NOTE:

You will need to configure the BackOffice to create a web reporting account.


Password Reset


Users may reset their password from the Login screen by clicking "Forgot your credentials? Click here".

 

Users are then prompted to enter their Site Login and User Name information in the "Reset Password" box.

Choose Store to Login


After logging in, a pop-up screen appears in the center of the screen with a list of stores to log into.

Note the following:

  • Administrator users will have access to all stores and sites.
  • Store owners will only have access to their sites.
  • Site names are preceded by their "Site Tag".  
    • For example:
      • Compass Group Canada sites use "CGC".  
      • Compass Group US Sites use "CGUS".
  • Sites that are down or unavailable will be indicated by a caution symbol beside their name: 
  • Manage Users and Manage Sites options are also available at the bottom of this pane.

Dashboard, Site Access, Logout


The following actions are available at the top right side of the webpage:

View Dashboard

  • Open the dashboard, displaying any available dashboard items.
  • Users may return to the main page by selecting "Back to Report Main Page". 

Leave Current Site

  • Leave the current site and access a different site (if available).  
  • This will bring up the "Choose Store to Login" window (detailed above).

Report Access, Options and Filters


After establishing connection to the report webpage and selecting a store, users will see a list of customized reports by default.

You can either highlight the folder () to generate the entire custom report, or expand the folder by clicking () and highlighting a single section of the report ().

Note: Certain features will only be available in the report navigation screen in Volanté V7, including:

  • CSV Export - Only HTML and PDF Export will be available
  • Email Reports 
  • View My Reports - Option beside the "Custom/System Reports" view button

System Reports

  • To view a list of all template reports, select “Load System Reports” button, situated above the list of folders.
  • Once you fill in your site name and the user information, the portal will communicate to the Volanté Web Service and retrieve all available reports.
  • You can configure the start time and end time of the report easily using calendar view, or manually by text.

Customized Reports

To view a list of customized reports, select "Load Customized Reports"

List By

Users can set criteria using "List By" to further sort or group reports.

"List By" is located on the top left of the screen, under the store name.

The following criteria can be selected:

  • Terminal
  • Employee
  • Customer
  • Store

Filter By

Similar to "List By", this option also allows users to further sort or group report values based on specific selections.

Users can select more than one option to filter by.


"Filter By" options can be set up in the Volanté BackOffice Reports module.

Users can filter reports by the following criteria:

  • Profit Centers - Filter reports by specific sections of a store or site, each with its own costs and revenue gain. This may include individual restaurants, separated cafeterias, or other divisions established at the site/store. Examples include:
    • Divisions of food service sections: Cafe 1, Cafe 2, Bar
    • Individual restaurants that serve a larger facility
  • Menu Item Filters (MI Filters) - Filter reports based on Menu Item divisions. Usage of this option may vary, but generally is used for specific menu item categories, groups or divisions.
    • Examples include:
      • Breakfast, Lunch, Dinner, Bar
      • Beverages, Food 
      • Restaurants that serve a larger facility. Similar to Profit Centers, but those with identical menus (i.e. multiple Starbucks cafes) will all share the same Menu Items, thus resulting in "Starbucks" groupings.
  • Day Parts - Filter reports based on specific parts of a day, if applicable. Examples may include meal periods, such as breakfast/lunch/dinner.
  • Terminals - Filter by one or more POS terminals at the site.
  • Employees - Filter by one or more employees. 
  • Customers - Filter by one or more customers.
  • Stores - Filter by store locations. Often only one store location present.

Choose Start Time

  • Click on the Start Time field to view the Calendar. Within the Calendar, select the start date and time period. 
  • Hour and Time can be adjusted by dragging the slider. 
  • Alternatively, users may hold down the arrow keys to shift the time over by hours and minutes. 

    Arrow keys must be held down, simply clicking them will not work.

Choose End Time

  • The following Quick Buttons are available:
    • Day – automatically calculates 1 day from start time.  
    • Week – automatically calculates 1 week from start time.
    • Month – automatically calculates 1 month from start time.
  • Users may also click in the End Time window to view the Calendar, manually selecting the date and time.

NOTE:

Start of Day defaults to 5:00 AM.
End of Day defaults to 4:59 AM on the following day.

HTML/PDF/CSV Display Options

Users can select between HTML, PDF or CSV for display options.

  • HTML is ideal for browser-viewing.
  • PDF is ideal for printing out the report.
    • If "PDF" is selected, additional options will be available for printing perspective.
  • CSV spreadsheets are useful for importing into other data tabulation applications, such as accounting software.  
    • CSV report export is only available for clients on Volanté Version 7. This will appear as an additional option next to the PDF option, if applicable.
    • Users can check off "Hide Header" to take out headers in generated CSVs.
    • Selecting the CSV option also enables the check box for "Send a copy to my email".

Load Customized and System Reports

Users can select between Customized Reports and System Reports by selecting the corresponding option above the reports listing.

  • Customized Reports - Customized Reports can be configured by clients to request information through specially customized criteria.
    • Customized Reports can be set up from the BackOffice > Reporting > Customized Reports tab.

  • System Reports - System Reports are available by default, and are preconfigured in Volanté.

Report Generation

  1. Click Generate Report.
  2. Wait until a prompt indicates to the user a report has been generated. This report will open in a new tab.

  3. Once the report is printed, a notification box, along with the link to the report will be displayed. You can click the link to view the report, or right-click > Save to save the file on your local computer.

NOTE:

Report generation wait times will vary depending on the amount of data being manipulated, hardware hosting databases, internet connection speed, etc.

Accessing User Options

User Options are available in the top right corner, indicated by the gear symbol.

Depending on the user's permissions and their version of Volanté, users can select from the following options:

Settings Available Only to Standard Users

  • Change Email/Password
  • Manage Users
  • Manage sites
  • View sessions

Settings Available Only to Administrative Users

General Settings:

    • View Previously Generated Reports
    • Change User Info
    • Create My Report
    • Create Dashboard Item
    • Modify My Report
    • Modify Dashboard Item

Admin Option-only:

    • View Sessions
    • Manage Users
    • Manage Sites
    • Manage Reports
    • Manage Dashboard

Create My Report


Users can create a report either through the New Report Wizard or through the New Report Setup.
