Configure Global Security Properties - BackOffice Security Setup

Question: How do I Login to BackOffice with a Username and Password?

Answer:

Instead of a classic number pad, BackOffice/HeadOffice can be set up so that users can log in using a username and password combination.

Setup:

System Configuration

From the BackOffice Software, open General Setup > System Configuration > Page 7. Check the "Use Text Login" box depending on BackOffice or HeadOffice.




Password Settings




Minutes until timeout:
The number of minutes before the session times out and the BackOffice prompts for login again (1755).

Max Attempts: 
Maximum number of times the BackOffice password can be incorrectly entered.
Note: Prior to 1778, the maximum number of password attempts is 5. After 5 attempts, the prompt closes and the user can try entering the password again.
As of 1778 and up, the maximum number of attempts is configurable.
When a user exhausts all attempts, their password will be disabled and must be changed by an admin user(1755).

Days until reset

Number of days before the BackOffice password expires, and will need to be reset by an admin (1755).

When the BackOffice password is changed, or are new:

  1. At least 1 alphabet and 1 numeric letter
  2. 8 or more characters
  3. Should be different than last 4 passwords
  4. New employees are assigned a random password.
  5. The employee must change their password upon logging in for the first time.


Users and Securities

User Setup

From the BackOffice Software, open User / Security:

When the system configuration checkbox is selected, user ID and password is used.

Security Setup

Activate BackOffice securities. This restricts access to selected areas in the BackOffice software.

Common areas required to lock down are:

  • Access to BackOffice = BO-Start Back Office Access Security. Note: Once logged in the system remembers authentication does not ask for more authentication while using the BackOffice Software.
  • Access to Menu Setup Screen = BO-Access Menu Setup Screen. Note: Authentication is only for remembered for this area and the system will ask again for authentication for other areas requiring security
  • Access to Reports Screen = BO-Access Report Screen. Note: Authentication is only for remembered for this area and the system will ask again for authentication for other areas requiring security
  • Access to User Security Screen = BO-Access User Security Screen. Note: Authentication is only for remembered for this area and the system will ask again for authentication for other areas requiring security

Change Password


  • Users can change their password if he/she wish through the following screen:

However, the user should remember his/her current password. If he/she forgets the password, the manager should log in and change their password on the User Setup screen.

Troubleshooting


The BackOffice Login dialog pop up does not appear, even after following setup?

This may be because BO-Access Securities have not been enabled.  Check off these settings in User/Security > Securities.
